Privacy Policy
In short: Sword & Song Collective is a small music project site. We collect only what we need to take a donation or a $4.99 download, send you a receipt or newsletter you asked for, answer email, and keep the site running. Payments go through PayPal. The list goes through Mailchimp. We do not sell your information. Questions: swordandsongcollective@gmail.com.

This policy describes how the operators of Sword & Song Collective (“we,” “us”) handle personal information on https://swordsongcollective.com (and our WordPress staging site while the live site is rebuilt). We are based in Connecticut and write this for a U.S. audience. It is a practical notice for a small artist site, not legal advice.
Who we are
- Site: Sword & Song Collective (artist / music collective)
- Contact for privacy and the site: swordandsongcollective@gmail.com
- Hosting: Flywheel (WordPress hosting)
This site is not directed at children under 13.
Information we collect
We only collect the kinds of information listed here.
Donations (GiveWP + PayPal)
If you donate on the site, we and our processors typically receive:
- Name
- Email address
- Donation amount and related transaction details
- Donation history tied to that email (including access through GiveWP’s donor email-verification / Donor Dashboard flow)
PayPal processes the payment. We do not store full card numbers on this site. PayPal’s own privacy policy covers the payment data you give PayPal.
We may send donation receipts, confirmations, and donor-access emails from swordandsongcollective@gmail.com.
Digital purchases (Easy Digital Downloads + PayPal)
We sell a digital download: Victory Mini Pre-Release (EP ZIP) for $4.99.
If you buy it, we and our processors typically receive:
- Name
- Email address
- Order / purchase details
- Download access tied to that purchase
PayPal processes the payment. We do not store full card numbers on this site.
We may email a receipt and download link to the address used at checkout. There is no public customer Account / Login page on the site yet. If we add one later, we will update this policy.
Newsletter (Mailchimp embed)
If you sign up for the mailing list, we collect the name and email you submit on the form. We use that to send project updates. Mailchimp holds the list. You can unsubscribe with the links in those emails or by writing us.
Contact
You can reach the project at swordandsongcollective@gmail.com (and any mailto links on the site). If you email us, ordinary email correspondence applies: we keep what we need to reply and follow up.
Hosting and security logs
Flywheel, as the host, may process standard server logs such as IP address, browser type, and timestamps for hosting, security, and reliability.
Embedded third-party content
The site may load:
- A SociableKit Facebook feed embed (Facebook-related content and scripts from that third party)
- PayPal checkout / donate windows
- The Mailchimp newsletter embed
Those services may collect information according to their own policies when their code runs.
How we use information
- Process donations and the digital purchase
- Send receipts, download links, and donor-access messages
- Send the newsletter if you subscribed
- Answer contact and support email
- Operate, secure, and fix the website
- Meet legal, accounting, tax, and fraud-prevention needs when required
We do not use this stack for a confirmed analytics product (no Google Analytics, Meta Pixel, or ad network is part of the current site). If we add analytics later, we will update this page.
Cookies and similar technology
We use what the site needs to work:
- Essential cookies / session storage for WordPress, donation forms, cart/checkout, and any logged-in or admin use
- Cookies or similar tools set by third-party embeds (SociableKit / Facebook, PayPal, Mailchimp)
You can block cookies in your browser. Essential ones may be required for donate, checkout, or donor access to work.
Who we share with
We share personal information only as needed to run the site:
- PayPal — payments
- Mailchimp — newsletter list
- Flywheel — hosting
- SociableKit / Facebook — the Facebook feed embed
We do not sell personal information. We do not share it for unrelated advertising.
We may also disclose information if the law requires it, or to protect the site, our users, or the project from fraud or abuse.
How long we keep it
- Donation and purchase records: as long as we need them for accounting, support, tax, and legal retention
- Newsletter data: until you unsubscribe or we clean the list
- Server logs: according to the host’s normal retention
- Email you send us: as long as needed to handle the conversation
Your choices
- Email swordandsongcollective@gmail.com to ask for access, correction, or deletion of contact or account-like data we hold. We may still keep transaction records where the law or accounting requires it.
- Unsubscribe from the newsletter with the link in the email, or by writing us.
- Manage PayPal payment data in your PayPal account.
- Use browser controls for cookies.
State privacy laws (including California): Depending on where you live, you may have rights to know, correct, or delete certain personal information, and to opt out of “sale” or certain sharing. We do not sell personal information. To use these rights with us, email swordandsongcollective@gmail.com. We will not discriminate against you for asking.
If you contact us from the EU or another country, use the same address. This site is built for a U.S. audience and is not aimed at running an EU-targeted service.
Security
We use reasonable administrative and technical measures for a small WordPress site, including SSL on the live site. No website is perfectly secure.

This site is not directed at children under 13. We do not knowingly collect personal information from them. If you believe we have, email swordandsongcollective@gmail.com and we will delete it.
